Case Study: MPI Toronto – 2021 Annual General Meeting

Since 1978, MPI Toronto has been committed to the success of its members by connecting the Toronto meeting and event community to learn, innovate, collaborate, and advocate in raising the profile of meeting professionals while fostering a community grounded in the principles of diversity, equity, and inclusion.

The Challenge

As required by their bylaws, MPI Toronto conducts an Annual General Meeting (AGM) to update their membership on the chapter’s vision, hold elections, and perform other activities that are integral to the chapter’s operations. Traditionally conducted through a live, in-person event that allowed members to participate in the chapter’s governance and network amongst themselves, the COVID-19 pandemic and the corresponding restrictions forced MPI Toronto to conduct their 2020 AGM virtually.

After independently conducting their 2020 AGM virtually via Zoom, the MPI Toronto Leadership team decided to once again conduct their AGM virtually for 2021. However, with the goal of increasing member participation, voter turnout and engagement being a top priority.

After meeting internally and reviewing the processes from their previous meeting, MPI Toronto Chapter President, Christina Northcott, and her team determined that providing their membership with a more engaging attendee experience and improving the proxy voting process would be integral in improving meeting efficiency, increasing member participation, and engagement at their upcoming meeting.

With a clear understanding of what they required to achieve their goal, the MPI Toronto Leadership team began searching for suitable solutions that could help them provide their membership with a more streamlined and engaging meeting and voting experience.

The Solution

Following a personalized consultation with the MPI Toronto team, Ineventors created a custom site designed and built according to MPI’s guidelines. Ineventors worked closely with the group to ensure that all messaging and functionality were cohesive with the branding of MPI.

According to the specifics required, the platform contained dedicated stream pages, which offered guests an elevated meeting experience. In addition to an integrated chat panel and immersive Q&A functions, Ineventors was able to embed the GetQuorum authenticated voting platform, which helped to facilitate member engagement.

MPI Toronto members were also given access to a networking lounge via the Ineventors platform, in which to connect face to face virtually. In providing attendees with the opportunity to make introductions and contacts, guests were able to enjoy the social engagement, adding a human element to the overall production.

Lastly, in understanding the importance of sponsor recognition, Ineventors included a virtual sponsor area within the platform, highlighting brands and businesses that contributed towards the MPI Toronto gathering.

Utilizing the functions available within their customizable navigation panel, Ineventors provided MPI Toronto meeting attendees with helpful, creating an impressive and polished guest experience.

The Ineventors Virtual Vendor Platform provides comprehensive virtual and hybrid event services that support and encourage interaction between attendees, presenters, and key stakeholders. In particular, the collaboration between Ineventors and MPI Toronto allowed guests to engage via the cutting-edge technology contained within this robust program.

Platform features such as the chat and Q&A panel allow for real-time discussions and collaborations between attendees and presenters, bringing further engagement towards informative sessions. And customized exhibitor booths will serve to spotlight vendors and sponsors that are essential to meeting and event collaborations.

Dynamic services such as the networking lounge offer the opportunity for guests to discuss important or relevant topics via video-enabled virtual tables. Depending on the design and meeting requirements, networking tables can seat anywhere from two to ten attendees, and guests are able to utilize personalized avatars upon taking their seats in the networking lounge.

The Ineventors platform also allows for gamification services that create a unique experience, facilitating engagement. In addition, elements such as surveys and event analytics will enable event professionals to measure the success of their production and obtain valuable attendee feedback.

Third-party integrations, such as polling and voting, provide endless possibilities and opportunities for member participation, as was seen with the collaboration between Ineventors and GetQuorum.

And after some brief discussion and coordination with the Ineventors team, the GetQuorum team was able to integrate their voting platform into the Ineventors virtual event platform, providing a truly seamless attendee experience from start to finish.

With a clear understanding of the processes, seamless integration amongst platforms, and support readily available from the Ineventors, GetQuorum, and Quest Audio Visual teams, respectively, the MPI Toronto team was ready for their 2021 Annual General Meeting.

The Results
